Submitting an entity application in Cosmos

Written by Rupert Searle

This guide walks you through submitting a new entity application from your Cosmos dashboard. The process is structured into three sections — company information, shareholder details, and final review — and can be completed in a single session.

Before you begin

Have the following ready:

  • Basic company details (proposed names, business activities, jurisdiction preference)

  • Personal information for each shareholder

  • Supporting documents for each shareholder, such as identification and proof of address

Step 1: Start a new application

From your Cosmos dashboard, click New Entity Application in the top right corner. You'll be taken to a three-step wizard:

  1. Company Information — basic company details for registration

  2. Shareholders — shareholder information and supporting documents

  3. Review — final check before submission

You'll need to complete each section in order to submit your application.

Step 2: Enter your company information

In the first section, provide the following details:

  • Entity Type — select the legal structure that fits your business

  • Company Names — suggest up to three names in order of preference

  • Business Activities — start typing to search the licensed list and add as many as needed

  • Employees Expected to Hire — choose the appropriate range

  • Jurisdiction — select from the available mainland and free zone options

  • Office Space Type — choose the workspace setup that suits your needs

When all fields are complete, click Next.

Tip: The authorities approve the first available name from your three suggestions, so it's worth thinking creatively about your options.

Step 3: Add shareholder details

In the second section, enter the personal details for each shareholder and upload their supporting documents.

For each shareholder, you'll need:

  • Full name, email, and phone number

  • Ownership percentage

  • Required supporting documents

To add additional shareholders, click Add Shareholder and repeat the process. When finished, click Next.

Note: The total ownership across all shareholders must add up to 100%.

Step 4: Review and submit

The final section displays a summary of everything you've entered, including company information, proposed names, business activities, and shareholder details. Each shareholder card will indicate whether all required documents have been uploaded.

Review the information carefully. If you need to make changes, you can return to a previous step. Once everything is correct:

  1. Click Submit Application

  2. Confirm the submission in the dialog that appears

Important: Once submitted, your application cannot be edited. Make sure all details are accurate before confirming.

After submission

Once submitted, your application will appear on your dashboard with a live status indicator:

  • Submitted — your application has been received

  • Under Review — your Relationship Manager and the relevant authorities are processing it

  • Approved — your entity is approved and ready for the next stage

Your Relationship Manager will guide you through any additional steps required to complete the formation.
